Tea Coffee Cost Calculator

Compare a local tea seller, staff-prepared drinks and a machine setup—using the same monthly cup count.

All starting figures are illustrative, not a quotation or surveyed local prices. Replace them with your bills and supplier proposals. Enter costs on the same tax-inclusive basis and compare the same cup size and drink strength.

01 / Your monthly cups

Use average cups served per working day, including visitors. Tea and coffee are separate counts, not percentages.

02 / Local tea seller

Use the final delivered price, including cups and delivery. Spread any monthly delivery fee across your expected cups.

03 / Staff-prepared in house

Fixed yield: 500 cups/kg of tea leaves and 500 cups/kg of instant coffee (2g per cup). No yield input needed. Include milk, sugar, expected wastage, allocated staff time, utilities and cleaning in the monthly amount. Staff time released is not automatically a payroll saving.

04 / Machine setup

Fixed yield: 70 cups/kg for both tea and coffee premix. Use complete premixes containing milk and sugar, not pure coffee or separate-ingredient systems. Combine rental or a purchase allowance, service, utilities, cleaning, refill time and wastage in the monthly amount.

How the estimate works

Monthly tea cups = daily tea cups × working days. Coffee is calculated separately. Each total includes its own recurring allowances.

  • Seller: tea cups × delivered tea price + coffee cups × delivered coffee price.
  • In house: (tea cups ÷ 500 × tea price/kg) + (coffee cups ÷ 500 × instant coffee price/kg) + monthly staff, milk, sugar & pantry costs.
  • Machine: (tea cups ÷ 70 × tea premix price/kg) + (coffee cups ÷ 70 × coffee premix price/kg) + monthly machine & upkeep costs.
  • Cost per cup: monthly total ÷ served cups. Calculations use full precision; displayed money is rounded.

Yields are fixed planning recipes, not guaranteed output for every product or cup size. Ground/filter coffee, stronger recipes and larger servings have different yields; confirm a comparable serving size before using the result. No extra wastage percentage is added. Minimum purchase commitments, financing, deposits and one-time setup payments are not calculated separately. Fold applicable recurring commitments into allowances without counting them twice. No statutory tax rate or input-tax credit is inferred.

Can I compare without coffee?

Yes. Set coffee cups per day to zero. The tea calculation and fixed costs still apply.

Will a machine always be the cheapest?

No. Volumes, recipes, equipment and staffing determine the result. Check a quiet month as well as a busy one.

Does allocated staff cost mean salary savings?

No. Existing staff may remain employed. Reallocated time has a value, but payroll savings require an actual change in employment expenditure.

What happens with zero cups?

Fixed monthly commitments still appear, but per-cup costs are unavailable. A zero-volume month does not imply a zero bill.

Are my figures sent to Mediators India?

The calculator itself runs in your browser and does not send or save your inputs. The enquiry link opens the existing enquiry page without your figures.
