What Does Staff-Prepared Office Tea Really Cost?

Milk, sugar and tea leaves are visible pantry expenses. Staff time is easier to overlook, especially when the person preparing drinks also handles reception, cleaning or office support. A useful cost comparison includes that time while being honest about whether the payroll bill can actually change.

Use the office tea and coffee cost calculator to compare staff-prepared drinks with a local seller and a machine setup. The in-house section uses tea-leaf and instant-coffee prices per kg with fixed yields of 500 cups/kg, plus a combined monthly allowance for staff, milk, sugar and pantry overheads.

Start with a recipe, not the shopping total

Estimate ingredients for one served cup of tea and one served cup of coffee. Include milk, sugar and the drink ingredients. Use a measured batch if that is how your office prepares drinks: divide its ingredient cost by the number of usable cups it serves.

Separate pantry drinks from other uses of the same supplies. If milk also goes into meals, charging the whole milk bill to tea would overstate its cost. Equally, leaving out sugar or discarded prepared drinks would understate it.

Allocate only the staff time used

Observe a representative week. Include preparation, serving, washing and buying supplies where those tasks are part of the job. Express pantry time as a share of paid working time, rather than assigning an entire salary because the employee sometimes makes tea.

For illustration, a monthly employment cost of ₹18,000 with 25% of time spent on pantry tasks gives an allocated cost of ₹4,500. That is a planning allocation. If the employee stays on the same pay after a machine is introduced, ₹4,500 is not an automatic reduction in cash expenditure.

Add the recurring costs around the cup

Allow for relevant cooking energy, water, cleaning materials and equipment use. Use a documented monthly estimate where direct measurement is impractical. A kettle, stove or refrigerator may support other tasks, so allocate only the relevant share.

Enter tea-leaf and instant-coffee prices per kg. The calculator uses 2g per cup, equivalent to 500 cups/kg, as a fixed planning recipe. Include milk, sugar and expected wastage in the monthly staff and pantry amount; no separate wastage percentage is added.

Separate three kinds of benefit

First is a reduction in ingredient or utility spending. Second is time available for other duties. Third is an actual reduction in employment expenditure. A proposal may produce one, two or all three, but they should not be described as the same saving.

Machine refilling, cleaning and oversight still take time. Include a separate allowance for those tasks in the machine column. A fair comparison does not remove every minute of staff work from one arrangement while counting all of it in the other.

Make the comparison useful for your office

Run the staff-prepared tea cost comparison for a typical month and a quiet month. Keep notes on the salary allocation and recipe assumptions so a colleague can check them. Do not base an employment decision on a calculator result alone.

To discuss equipment for Chandigarh, Mohali or Panchkula, share your office location, drinks and expected daily cups with Mediators India. Ask how the proposed setup changes the preparation and cleaning routine, as well as its cost.

Should I enter the employee’s full salary?

Work out the share spent on pantry duties, then include that amount in the monthly staff and pantry figure alongside relevant overheads.

Does time released equal money saved?

No. Payroll only falls if employment expenditure actually changes.

Can staff cost be zero?

You can enter zero to compare cash ingredients and overheads alone, but label that choice clearly when sharing the result.
