Tea and Coffee for a Showroom: Plan Around Visitors

3 November 2026

A showroom is quiet for an hour. Then two families arrive together, a scheduled meeting starts and a colleague offers everyone tea. The daily average looked modest; the serving moment is suddenly busy.

That is why a showroom beverage plan needs more than a staff headcount. Count visitors, think through the offer and decide who serves the drinks while the sales team is occupied.

Count offers and accepted drinks separately

For a week, record visitor groups, people offered a drink and drinks actually accepted. Keep staff consumption in another column. This shows whether your assumptions match the way the showroom operates.

An offer is not automatically a cup. Some visitors decline, some ask later and a group may share an appointment while only a few people take refreshments. Counting each visitor as a guaranteed serving can overstate your stock needs.

Keep the first menu manageable

Begin with a small set of drinks you can offer clearly. Test them in the cups you will use, with the person who normally serves visitors present. The practical question is whether the drink and serving routine suit the visit.

Nestlé Professional has beverage solutions for business settings, but a published product range is not evidence that every model or menu is available at your location. Have the supplier match the actual proposal to your drink list.

Use two demand scenarios

The following numbers are illustrative planning assumptions, not observed customer data or a suggested machine capacity. They show how visitor acceptance changes the forecast.

Assumption per working dayQuieter dayBusier day
Visitors offered drinks2040
Assumed acceptance50%75%
Visitor servings1030
Staff servings1515
Total servings2545
At 26 working days6501,170

The difference is 520 monthly servings. Replace the assumed acceptance rates and working days with your own tally. Do not interpret the table as a prediction that a busy day repeats all month.

If actual ingredient cost is C per accepted serving, the two ingredient budgets are 650 × C and 1,170 × C. This symbolic worksheet excludes GST, rental, service, installation, cups, water, electricity, cleaning, staff time and wastage. Use supplier-confirmed prices and tax treatment before turning it into a budget.

Follow a drink from offer to clear-up

Walk the route once. Who takes the order? Where does the cup wait? Who carries it to the visitor, clears it afterwards and notices that stock needs replenishing? Include the handover when the usual attendant is on a break.

Keep the machine and hot-drink handling arrangements appropriate to the site, with the supplier's installation and operating guidance. This article does not prescribe a universal counter position or electrical setup. Measure the actual serving area and have the proposed location checked.

Test the appointment peak

A daily count of 45 does not show whether 15 of those drinks arrive in one short interval. Look at appointment patterns and record the busiest likely group. Ask for a demonstration using that group size and the mix of drinks you actually expect.

Measure the whole service: choosing, dispensing, carrying, refilling and clearing. An impressive machine dispensing rate is only one part of the visitor's wait. There is no need to promise that refreshments increase sales; the useful goal here is a workable hospitality routine.

Decide what to trial first

Take one normal-day tally, one busy appointment scenario and your preferred drinks to the supplier. Ask for a proposal that includes consumables, site requirements and responsibility for daily operation.

See solutions for outlets and send a showroom enquiry. For Chandigarh, Mohali or Panchkula, include the exact address and serving arrangement so coverage can be checked.

Frequently asked questions

Should we count staff and visitors together?

Track them separately first. Visitor acceptance and appointment peaks may behave differently from regular staff consumption.

How many drinks should we allow per visitor?

Measure accepted drinks rather than assuming one for everyone. Use a short tally and revise it as your pattern becomes clearer.

Does a showroom need a large machine?

Daily totals alone cannot decide that. Test your busiest likely group, drink mix and serving workflow against the proposed setup.

Are the 650 and 1,170 monthly figures recommendations?

No. They are arithmetic from hypothetical daily assumptions and 26 working days, provided to make the method easy to replace.

Can you confirm local supply from this article?

No. Availability, delivery and support must be confirmed for your address and proposed model.
