Reordering Alan’s Snacks: A Stock Sheet for Shops and Canteens

28 October 2026

An Alan’s snacks stock sheet helps you place a repeat order from a reconciled count. A carton that feels light is a poor reason to reorder if another carton is still behind the counter. Count the stock before sending the message.

For Alan’s chips and Chatkeele, keep the count by exact product and pack. A line that says only “chips remaining” will not tell the person ordering whether Masala is nearly finished or Classic Salted is taking up the space.

Set one unit per line in your Alan’s snacks stock sheet

Count individual retail packets if that is how the product is sold and recorded. If you receive cartons, convert them using the confirmed number of packets in that exact carton. Write the conversion on the sheet so the next person does not have to remember it.

Do not copy a case quantity from another flavour or size. If there is a partly opened carton, count the remaining packets. The outside carton label alone cannot tell you how many usable packs are left inside.

Reconcile before placing the repeat order

Use opening usable stock plus receipts, less packs sold and packs removed from usable stock. Record a condition query or damaged pack separately from a sale.

Here is an invented one-line example, not an account of a customer’s stock:

Stock movementIllustrative packs
Opening usable stock80
Received+40
Sold−65
Damaged or set aside−5
Calculated usable balance50

Physically count the balance as well. If it is 47, investigate the three-pack difference rather than changing the sales number to make the sheet look tidy. Check receipt counts, a misplaced carton, samples, giveaways and simple recording errors.

A returned pack is not automatically usable stock

Keep returns or disputed packs separate until their condition and the supplier’s process are clear. A credit note records a financial adjustment; it does not by itself prove that a packet can go back on the shelf. Avoid counting the same pack in both the usable balance and the set-aside area.

For a supplier query, keep the product, quantity, date, batch or printed date details where present, and photographs of the condition. Ask what the agreed process requires. This article does not promise that returns will be accepted or credited.

Use stock availability to explain sales

Record the days a flavour was out of stock. If a line sold 20 packs and then disappeared from the display for half the week, its sales total needs that context. Likewise, a product that stayed available every day had more opportunity to sell.

Keep a short note of exceptional days: an event, a closed counter or a delivery delay. Do not turn a one-day rush into the regular order pattern without checking the next ordinary period.

Write the repeat order so it can be checked

A repeat order should still name the exact flavour, pack and buying unit. “Same as last time” can fail when the earlier order contained a substitute or a different size. Attach the agreed item references if they are available and state which alternatives require approval.

Send the required quantities and date with the delivery address. Ask for the final tax and freight treatment, especially if the order size has changed. Keep the supplier’s confirmation with the stock sheet so receiving staff can check what was agreed.

Keep it simple enough to use tomorrow

One sheet per counter or stock location is usually easier to maintain than a single rough total passed between people. Choose who records receipts and who checks the physical count. The method only helps if the next shift can follow it.

Use our RCPL product enquiry for a repeat-order brief, or browse the range if the exact format needs checking. A reconciled stock count makes that conversation much shorter.

Frequently asked questions

Should I count cartons or individual packets?

Use one clearly defined unit per line. If cartons are converted into packets, retain the confirmed packs-per-carton factor for that exact SKU.

Can a credit note be treated as a stock receipt?

No. Financial credit and usable physical stock are separate records. Confirm what happened to the goods and keep disputed or unsuitable packs out of the usable count.

What does a stock difference mean?

It means the calculated and physical balances disagree. Check the movements and set-aside packs before deciding the cause; the difference is not proof of a particular problem.

Can I reorder using only total chips sales?

That can hide a flavour or pack shortage. Keep separate lines for the exact products so the repeat order matches what needs replenishing.

Does this worksheet establish a return policy?

No. Ask for the actual supplier terms and the evidence required for a condition query. No acceptance, credit or collection promise is made here.
